Course Scheduling Information

Welcome to the scheduling resource page for faculty and staff in the College of Education. Below you will find key dates, processes, and forms to help you manage course scheduling efficiently each term.

Scheduling Calendar (Approximate)

This calendar provides an approximate picture of when scheduling activities occur for each semester. The COE Scheduling Coordinator will provide exact dates and deadlines for each semester when they become available.

Scheduling Begins: initial schedule spreadsheets are available to program coordinators and schedulers.

  • Mid-January for Fall Semesters
  • Early August for Spring Semesters
  • Mid-October for Summer Semesters

College of Education Internal Priority Deadlines: program coordinators/schedulers submit edited spreadsheets to COE Schedule Coordinator.

  • Late January for Fall semesters
  • Late August for Spring semesters
  • Early November for Summer semesters

Registrar Priority Deadlines: schedule coordinator submits schedule request to the Office of the Registrar.

  • Early February for Fall semesters
  • Early September for Spring semesters
  • Mid- to Late November for Summer semesters

Proofing Deadlines: program coordinators/schedulers have reviewed the schedule and provided the majority of necessary changes.

  • Mid-February for Fall semesters
  • Late September for Spring semesters
  • Mid-February for Summer semesters

 

Late Course Changes

Changes after the Proofing Deadline require a Late Change Request Form, with the exception of instructor assignments. 

  • Form Access: Late Change Request Form
  • Submit one form per section of each course.
  • Form will be routed to the Department Chair and Assistant Dean for approval.
  • After approval, the form will be automatically routed to the COE Schedule Coordinator for scheduling.

 

Online Course Approval

Courses offered within an on-campus degree program may not be delivered in an online or hybrid format, even if the course has been approved for online delivery through the Office of Distributed Learning.

  • Exceptions may be granted if online delivery improves course quality for reasons unrelated to student or faculty convenience, or a portion of the students are enrolled in a fully online degree program.
  • Request for exception must be submitted on the COE Online Course Request Form.

  • Form will be routed to the Department Chair and Assistant Dean for approval.
  • After approval, the form will be automatically routed to the COE Schedule Coordinator for scheduling.

 

Special Topics Courses (STC)

All special topics courses should have a topic officially assigned to each section. To offer a special topics course and have a topic assigned:

  • Notify COE Schedule Coordinator that the course needs to be created.
  • After the course is created, the Schedule Coordinator will provide the course CRN, which is required for the Special Topics Courseform.
  • Contact the appropriate person within your department to complete the Special Topics Course form and provide the CRN. If you do not know who that person is, contact the COE Course Coordinator.
  • The Special Topics Course form will be automatically routed to the Department Chair and Assistant Dean for approval.
  • Once approved, the Special Topics Course form is routed to the Registrar’s office, where they will assign the topic to the appropriate section.

 

New Instructors (Students or Staff)

When a USC staff member or student will be the instructor of record for a course for the first time, a new student/staff instructor form must be completed.

This form should not be used for new faculty or adjuncts. Faculty are approved through the HR process.
